Job Description
- School Administration
- Coordinate daily administrative operations and ensure the school runs according to its approved schedule.
- Maintain registers, records, files and documentation.
- Prepare letters, notices, memos, reports and official correspondence.
- Support the school calendar, timetable, meetings and appointments.
- Monitor administrative deadlines and assist management with policy implementation.
- Staff Coordination and Support
- Maintain staff attendance and punctuality records.
- Support coordination of teaching and non-teaching staff.
- Communicate approved management instructions and information.
- Parent and Stakeholder Relations
- Serve as a key administrative contact for parents and guardians.
- Respond to enquiries professionally and courteously.
- Receive, document and appropriately escalate complaints.
- Assist with PTA meetings, school events and stakeholder communication.
- Finance and Records
- Support approved administrative financial processes as directed.
- Maintain records of approved payments, receipts and administrative expenses where applicable.
- Prepare basic reports and liaise with the bursar/accountant where applicable.
- Maintain strict confidentiality of financial information.
- Facilities and Operations
- Monitor school facilities and administrative equipment and report faults.
- Coordinate routine arrangements with cleaners, security and maintenance staff.
- Monitor essential office supplies and assist with procurement/inventory as directed.
- Communication and Documentation
- Draft and circulate authorized school communications.
- Keep records of meetings, decisions and correspondence.
- Maintain confidentiality and ensure documents are properly stored and retrievable
- Child Safeguarding Responsibilities
- Prioritize the safety, welfare and dignity of pupils.
- Report suspected abuse, neglect, bullying or other safeguarding concerns immediately through the approved reporting channel.
- Required Qualifications
- Minimum of OND/HND/Bachelor’s degree in Education, Business Administration, Public Administration, Management, Office Administration or a related discipline.
- Relevant administrative experience, preferably in a school or educational institution.
- Good written and spoken English.
- Computer literacy, including Microsoft Word and Excel.
- Strong organizational and record-keeping skills.
- Training in Education, School Administration, HR or Child Safeguarding is an advantage.
- Experience
- Proven relevant administrative experience is preferred.
- Previous nursery, primary or secondary school experience is an advantage.
- Experience working with parents, teachers, pupils and management is desirable.
